We’ve all heard this line a million times. But what does it really mean?
It’s about maximizing efficiency and effectiveness, so you don’t have to work yourself into the ground or hit that special burnout level where you start Googling “how to live off-grid.”
Perfect for small business owners juggling multiple hats (and probably wondering where they last put one of them). The idea? Use strategies and tools that make your workday easier, more productive, and ultimately less exhausting.
Here are a few tips to outsmart your workday:
- Prioritize and Plan
- Focus on What Matters: Don’t just check boxes. Focus on tasks that move your business forward. Heard of the 80/20 principle? I’m reading a book on it called The 80/20 Principle: The Secret to Achieving More with Less. It’s all about how 20% of your tasks drive 80% of your results. (The other 80%? Mostly just false productivity.)
- The Power of Planning: Take a few minutes to prioritize your day. Break tasks into bite-sized chunks. Think “snackable,” not “all-you-can-eat buffet.”
- Time Blocking: Group similar tasks together and avoid ping-ponging between unrelated ones. Multitasking might feel productive, but really, it’s fancy procrastination.
- Use the Right Tools
- Automation is Your Friend: Automate repetitive stuff like scheduling, invoicing, or email marketing. Tools like Buffer, Zapier, or auto-email responders save you hours. Hours you can spend not staring at spreadsheets.
- Productivity Apps: Trello, Asana, Notion… digital personal assistants without the salary or coffee needs.
- Communication Tools: Skip the chaos of jumping between emails, texts, and smoke signals. Streamline with Slack or Microsoft Teams.
- Delegate (When Possible)
- Outsource the Meh Stuff: If it’s not your jam, or just not worth your time, delegate it. Admin tasks, customer service, or anything that makes you want to fake a power outage.
- Virtual Assistants: VAs are game-changers. They handle behind-the-scenes so you can focus on the big stuff (or finally finish that cup of coffee before it gets cold).
- Take Breaks
- Avoid Burnout: You are not a machine (unless you are, in which case, cool tech). Breaks reset your brain, boost creativity, and increase productivity.
- Try the Pomodoro Technique: Work 25 minutes, rest 5. It’s interval training for your brain, minus the burpees.
- Set Boundaries
- Say No to Time Vampires: Unnecessary meetings? Last-minute favors? “Just one quick thing”? Nope.
- Time Limits: Set timers for tasks so they don’t expand like mysterious leftovers in the back of your fridge. Tools like Toggl keep you on track.
- Learn to Say No (Nicely, if Possible)
- Not every opportunity is golden. Some are bronze… or worse. Be strategic with your “yes” and generous with your polite “no, thank you.”
- Review and Reflect
- Take time now and then to see what’s working and what’s not. Adjust. Refine. And don’t forget to pat yourself on the back. You’re the boss!
Final Thoughts:
Working smarter isn’t about cutting corners. It’s about choosing the right corners to cut. It’s about being intentional with your time, your energy, and your sanity.
So next time you’re tempted to put in another 14-hour day, ask yourself: Is this productive… or just familiar?
You’ve got this. And remember, even superheroes need breaks. Cape or no cape
